Estimates.

Initial estimates are based on the original project brief provided by the customer or their agents and our understanding of how to best facilitate the customers requirements. Room for wine reserve the right to amend our estimates in line with customer design changes (over and above those already costed), after a site survey, unforeseen site conditions or issues undisclosed at the time of pricing. Initial estimates will be marked “guide only” and are to be used as a project budget guide until all sufficient information has been attained, a finish design approved and all variables calculated to create a detailed estimate. Should there be a requirement for design or material changes by the client of their agent after design “sign off” this will inevitably result in price increases above the projected project costs these will of course will be made clear and itemised in writing to the customer. Additional charges will be invoiced separately to the agreed payment schedule and must by paid prior to implementation.

Items that may be included but not always itemised in your estimate include provisions required to facilitate your project like waste disposal, transport, deliveries, parking, ULEZ, congestion charges, health and safety, admin. and safety equipment. It is assumed where room for wine installs on a site under the control of another contractor that we will have free access to site, site facilities, site toilets, site parking and waste disposal where available.

Estimates are valid for 28 days from the issue date.

Warranties.

All room for wine installations carry a one year workmanship and material warranty. In order to maintain the warranty on your climate control it must be maintained and serviced by a qualified engineer ( or room for wine operative ) at 6 month intervals. This is essential for keeping the climate control system working at its optimum effectiveness and to validate the warranty on product parts. Your room for wine warranty is activated on receipt of the final outstanding balance. The date of warranty commencement will be itemised in our confirmation of final payment correspondence, the project is not deemed complete and no warranty issued until final payment is received in full. Non payment of the final balance will result in a failure to qualify for a warranty and any defects or additional work will be charged separately and only undertaken after receipt of the final payment  and subsequent charges.

Wine cellar design.

When it comes to unique, bespoke designs it is understood that time can vary from project to project, an allowance has been made in the estimate gleaned from previous similar size projects for our design team to facilitate our clients with a workable image this usually falls in a 3 – 6 week window depending upon complexity. The design scope timescale is not open ended and is usually limited to three designs. Should this process begin to exceed our projected timescales Room for Wine will inform you via email and make suggestions to remedy the situation. Once an approved design has been agreed further re-design or “last minute “ changes could result in additional charges being levied.

Room for Wine reserve the right to have final say on the use of materials in any design should they deem them incompatible with the safe installation or running of the wine cellar. This extends to the safety of any given design for either the installation team or the client.

Design change requests after a product has gone into manufacture can be facilitated but may result in large cost implications given the impact on the project in terms of lost production and design team time, rescheduling and materials. The client will be advised of any cost implications resulting from this course of action.

Payment terms.

Due to the time required and detail needed to carry out a design and site survey we cannot undertake any work prior to the receipt of an order deposit based on the estimated project costs. The payment schedule is broken down below.

- 20% of the agreed estimated project costs to cover design costs, survey, consultation, site liaison and there related expenses.

- 50% of the most recent agreed project cost to conclude design “sign off” and initiate manufacture.

- 95%  of the most recent agreed project cost to be paid prior to installation.

- 5%   of the final balance to be paid on completion.

Any additional or Ad-hoc charges resulting from variations or client requests should be paid in full 7 days from the date of invoice.
